Organizing Important Documents So Your Family Can Find Them

In the immediate aftermath of a death, families need access to documents they may never have thought about before: death certificates, insurance policies, account numbers, passwords, property titles, and more. Trying to locate these documents while grieving is one of the most stressful experiences a family can face. Organizing now is a profound act of care for the people you love.
THE MASTER DOCUMENT BINDER
Assemble a physical binder (or accordion folder) clearly labeled 'IMPORTANT DOCUMENTS — [Name].' Include:
☐ Birth certificate
☐ Social Security card
☐ Passport
☐ Marriage certificate (if applicable)
☐ Military discharge papers (if applicable)
☐ Will and trust documents
☐ Advance directive and healthcare power of attorney
☐ Financial power of attorney
☐ Property deeds and titles
☐ Vehicle titles
☐ Life insurance policies (include policy numbers and contact information for each insurer)
☐ Retirement account statements
☐ Bank account information (institutions and account numbers)
☐ Investment account information
☐ Mortgage documents or lease agreement
☐ Tax returns from the last three years
☐ Digital accounts document (from your digital legacy planning)
WHERE TO STORE IT
☐ Store the original binder in a fireproof safe or safety deposit box
☐ Keep a copy in an accessible location at home that your designated family member knows
☐ Tell at least two family members where the binder is and what it contains
☐ Scan all documents and store in a secure cloud location as a backup
☐ Review and update the binder annually
TELL SOMEONE
The binder is only useful if someone knows it exists and where it is. Tell your healthcare proxy, your executor, and at least one trusted family member directly: 'I have organized all of my important documents. Here is where they are.' Write it in a letter if you prefer. The most organized binder in the world provides no protection if it's discovered three months after it was needed.
